HBL is looking for an Administrative Assistant – Operations who will play a key role in supporting a fast-paced office environment, ensuring smooth operations across departments. This individual must have a strong understanding of office procedures and demonstrate exceptional communication, problem-solving, and multitasking abilities.

Responsibilities:

• Manage calendars, schedule and coordinate meetings, and ensure follow up actions are completed

• Support the operations team with key operations functions including but not limited to; logistics, coordinating with other departments, and helping the department achieve excellence

• Support the warehouse on administrative tasks including but not limited to; making labels, print packing list for upcoming containers, process RMAs, take payments from customers on the weekend, and file and manage claims with carriers

• Create and maintain detailed Excel spreadsheets and reports

• Provide support with project management and problem resolution

• Manage and maintain both internal and external client relations

• Support special projects and handle additional duties as needed

Skills:

• Strong Knowledge of Microsoft Excel, Word, and Outlook

• Experience in Sage 100 and Airtable a plus

• Excellent interpersonal and teamwork skills

• Meticulous attention to detail

• Strong organizational, critical thinking, and problem-solving skills

• Ability to manage multiple tasks and priorities efficiently

• Self-motivated with the ability to work independently

• Ability to work overtime including Saturdays during peak season

• A proactive mindset with a willingness to contribute ideas to improve processes
