Job Title:  Administrative Services Specialist

Job Summary:  Provides administrative support to the Administration and Social Services departments where and when needed.  Maintains accurate records, filing, and file preparation and scanning. 

Essential Duties and Responsibilities:

  1. Provides administrative support to the professional staff of designated program of NCHS.
  2. Under the direct supervision of the Admin Support Supervisor, perform support activities including but not limited to daily casework maintenance, activity reports, document control system management, typing, filing, database maintenance, office supply inventory management, merchant card reconciliation, and petty cash handling.
  3. Regularly participates in file prep process and provides back up support to the Scanning & Record Center Coordinator.
  4. Performs receptionist duties as assigned, responsible for greeting clients and visitors. Receives all incoming calls and directs them to the proper person.
  5. Maintain polite and professional communication via phone, e-mail, and mail with staff and vendors.
  6. Provides assistance with rental of NCHS offices and participates in cross training as scheduled by Administrative Support Supervisor
  7. Provides floating coverage to all NCHS offices and participates in cross training as scheduled by Administrative Support Supervisor.
  8. Demonstrates respect, appreciation, and sensitivity for diversity and confidentiality.
  9. Participates within Continuous Quality Improvement program.
  10. Receives all mail and directs them to the proper person.

Supplemental Duties and Responsibilities:

  1. Performs other duties as assigned by the Admin Support Supervisor.

Qualifications and Requirements:

  1. Minimum education and experience:
    1. High School Graduate and/or related work experience
    2. Ability and/or willingness to learn, understand and utilize computer software and hardware applicable to the organization’s operations, including word-processing and Microsoft Office and Windows
    3. Supports the goals and missions of NCHS.
  2. Knowledge, skills, and abilities:
    1. Knowledge of Microsoft products, computer spreadsheets and databases required.
    2. Is able to work well with others.
    3. Needs good command of the English language and accurate spelling skills.
    4. Ability to multi-task and handle a fast paced office environment.
    5. Is able to understand priorities and procedures related to the Agency.
    6. Must be able to maintain confidentiality.
    7. Must be knowledgeable about how the agency operates and able to direct incoming calls to the proper party.
    8. Possess driver’s license and personal vehicle insurance
    9. Highly organized with good communication skills
    10. Dependable and punctuation
    11. Problem solver with good decision making skills
  3. Physical demands:
    1. Spends much of the day at the desk/computer area.
    2. May be required to walk, climb, sit use hands and fingers to operate, handle or feel objects and equipment, talk and hear.
    3. Light lifting requirements (<20lbs).
  4. Schedule demands (travel, adjustments to accommodate clients, weekends/evenings, etc.):
    1. Scheduling is based around normal office hours on an “as needed” basis.
  5. Site factors (work location, environment, travel, etc.):
    1. Most of the work will be in an office environment.
    2. Minimal travel between Omaha sites may be required.

Salary: $18.20 - $20.16 hourly, based on education and experience
