SUMMARY DESCRIPTION OF WORK

Performs skilled duties of a broad nature, which include ability to organize office and supervise smooth operation of facility.  Assignments may entail a wide knowledge base, decision making, and problem solving.

Comprehension: between $18.97 and $22.62 per hour (wage is determined by total years of relevant experience)
Work Schedule: Monday - Friday; Monday and Tuesday Evenings

MINIMUM QUALIFICATIONS

  • High School Diploma required
  • One to three years or relevant office management required
  • Strong computer skills in MS Office
  • Strong organizational and administrative skills

Essential Duties and Responsibilities

  • Assures completion of all internal and external data collection and reporting required by funding sources and reports regularly on these areas.
  • Manage required paperwork and electronic submission procedures for behavioral health services.
  • Oversees the updating and completion of daily staff schedules, scheduling intakes, and maintains therapist’s work schedules.
  • Coordinating client appointments by scheduling, obtaining insurance or other pay source information, and forwarding the proper information to Fiscal Department.
  • Enters monthly statistical data for outcomes.
  • Ensures that supplies are maintained at adequate levels and office upkeep is monitored.
  • Accurately takes messages and gives appropriate directions to clients and public; assists all visitors, clients and staff in processing their inquiries.
  • Responds to staff requests relative to facility needs.
  • Provides support to all programs located in this office.
  • Attend and co-facilitate the monthly agency-wide Office Manager’s meetings.
  • Always display a courteous and caring attitude to the clientele, volunteers, and visitors of the Agency.
  • Cooperate and collaborate with program area staff, volunteers, and other Agency staff.
  • Is dependable and punctual regarding scheduling and attendance.
  • Abide by all specific program and Agency procedures, policies, and requirements.
  • Develop personal and program related skills through participation in internal and external training opportunities including printed material and audio and/or visual media.
  • Creates, maintains and shares an appropriate a dynamic self-care plan.
  • Strives to make connections between the agency and the larger community whenever possible to contribute to the agency’s ongoing fundraising and friend-raising efforts.
  • Essential functions of this job are to be performed on company physical work site.
  • Perform other program related duties as assigned.
